Privacy Policy

How TruClaimX Collects, Uses, and Protects Your Information

This Privacy Policy describes how TruClaimX, operated by TrueMile LLC ("we," "us," or "our"), collects, uses, discloses, and safeguards your information when you access or use our platform. By using the Platform, you consent to the practices described in this policy.

Information We Collect

We may collect the following categories of information:

  • Personal Information: Name, email address, phone number, and mailing address provided during account registration or transactions.
  • Account Data: Username, password (encrypted), account preferences, and profile information.
  • VIN, Claim, and Verification Data: Vehicle identification numbers, claim records, evidence files, and intelligence data submitted to or generated by the Platform.
  • Device & Analytics Data: IP address, browser type, operating system, device identifiers, referring URLs, and pages viewed.
  • Cookies & Tracking Technologies: We use cookies, web beacons, and similar technologies to enhance functionality, analyze usage patterns, and deliver personalized content.

How We Use Information

  • To operate, maintain, and improve the TruClaimX platform.
  • To generate and deliver claim intelligence, VIN verification, and shared network reports.
  • To detect, prevent, and address fraud, unauthorized activity, and security threats.
  • To analyze usage trends, monitor platform performance, and improve user experience through analytics.
  • To comply with applicable laws, regulations, legal processes, or enforceable governmental requests.

Data Sharing

  • Service Providers: Third-party vendors who assist in operating the Platform, including hosting, customer support, and email delivery services.
  • Analytics Providers: Tools and services used to analyze platform usage and performance.
  • Legal Authorities: When required by law, regulation, subpoena, court order, or other legal process.

We do not sell your personal information to third parties.

Data Ownership & the Shared-Intelligence Network

TruClaimX is a shared-intelligence network for commercial vehicle claims. When you, your employer, or another network participant submits a VIN record, claim, evidence file, or related verification data to the Platform, that data becomes part of the TruClaimX dataset and is owned by TrueMile LLC. This includes, without limitation: claim numbers, VIN-linked event histories, damage and severity data, payout amounts, evidence photos and documents, audit trails, and usage records.

This ownership is the foundation of the product — the value TruClaimX delivers to participating insurers is the ability to query the cumulative record contributed by the network. Without retained contributions, the dataset has no value to other carriers, and the service cannot function. You acknowledge and agree to this transfer of ownership as a condition of using the Platform.

Personal information that identifies you as an individual (your name, email, phone, profile photo) is treated separately and remains subject to the rights described below.

Data Retention

We retain your personal information for as long as your account is active and for a reasonable period thereafter to satisfy legal, accounting, audit, security, and dispute-resolution obligations.

We retain contributed business records (claim, VIN, evidence, audit, and usage data) indefinitely as TruClaimX-owned dataset assets, even after your account is deleted. Where required, contributed records are anonymized at the personal level — your name is removed from the contributor field — but the underlying business data remains in the network.

Security Measures

  • Encryption of data in transit and at rest using TLS/SSL protocols.
  • Role-based access controls limiting data access to authorized personnel.
  • Regular security assessments and monitoring to detect and respond to threats.
  • Optional multi-factor authentication and leaked-password checks on all accounts.

While we strive to protect your information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.

Your Rights

  • Access: Request a copy of the personal information we hold about you. You can self-serve this at any time from Settings → Privacy & data.
  • Correction: Request correction of inaccurate or incomplete personal information.
  • Deletion of Personal Information: You may delete your personal information (name, email, phone, profile) at any time from Settings → Privacy & data, or by writing to us. This permanently anonymizes your identity on the Platform and signs you out.
  • Limits on Deletion: Deletion of personal information does not remove contributed business records (claims, VIN events, evidence, audit, usage). These are TruClaimX-owned dataset assets retained per the "Data Ownership" section above and required for legal, regulatory, anti-fraud, and contractual obligations to other network participants.
  • Opt-Out: Unsubscribe from marketing and promotional communications at any time.

Cookies Policy

We use cookies and similar tracking technologies to collect information about your browsing activity on the Platform. You can manage your cookie preferences through your browser settings. Disabling certain cookies may affect the functionality of the Platform. See our Cookie Policy for details.

Children's Privacy

TruClaimX is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors.

International Transfers

Your information may be transferred to and processed in the United States, where our servers and operations are located. By using the Platform, you consent to the transfer of your information to the United States.

Changes to This Privacy Policy

We reserve the right to update this Privacy Policy at any time. Changes will be effective upon posting the revised policy on the Platform. Your continued use of the Platform following the posting of revised terms constitutes your acceptance of the revised Privacy Policy.
